Minutes of NIETF Board Meeting 09/16/07

1. Meeting was called to order at 5:08pm by JoBeth Cruz

Board members in attendance: JoBeth Cruz, Lisa Woodruff, Ruth Best, Stephanie Naumoff, Anne Nicholls, Larry Hinken, Ed Griffith, Ken Mertens, Mark Ladd, Karin Albright-Coleman, David Pifko and Amanda Dietrich.

11. Consent Agenda Approval

A motion was made to accept the submitted reports. The following reports were seconded and approved.

a) Board Minutes from August - Motion made to approve the minutes. Motion seconded and approved.

b) Treasurer's Report - Motion made to approve this report. Motion seconded and approved. c) Marketing Report - Motion made to approve this report. Motion seconded and approved.

d) Play Nominations Secretary's Report - Motion made to approve this report. Motion seconded and approved.

e) Outreach Report -.Motion made to approve this report. Motion seconded and approved. IV. Non Submitted Reports

a) Musical Nominations Secretary's Report (oral)

1. Rocky Horror Picture Show at the Dunes Summer Theatre is viewable.

2. Sweeny Todd in Concert at the Towle Community Theatre is not viewable, per their discretion.

3. Nominations Page in the works.

b) Development Report

1. Emails out for program sponsors.

2. Memorial Opera House paid membership twice last season; they do not owe this year. 3. All theatres have paid membership dues.

V. Old Business

a) Repository: Sim Indiana - All board members have signed up. Now, by November, all board members are asked to add Sim Indiana to their programs and begin submitting their reports there. All November reports must be posted by November 14, 2007.

b) New NIETF Brochure on hold; waiting for Portage decision.

c) Resource Page - Still in the works; will be reviewed in November. d) Webpage Nominations page troubles are now remedied. e) Guestbook - no solution for unprofessional posts discovered.

I . Discussion on disbanding Guestbook.

a. Negative comments will go somewhere; best to come where board can look into them.

b. Patrons read Guestbook; access limited?

c. Disbanding Guestbook reflects poorly on Board.

d. Free Speech questioned; private entity, First Amendment not an issue.

e. Move link to Guestbook to Members page.

f. Proposed that a clear warning is posted on the Guestbook to enforce appropriate behavior and that every six months, the comments are reset so that one can not go back to view previous comments. - Motion made to approve this proposition. Motion seconded and approved.

2. Proposed that $5 be paid to remove Guestbook "Pop-ups," amended to $15 for three months of removal. After three months, it will be revisited to see if removal is an improvement. - Motion made to approve this proposition. Motion seconded and approved.

fJ Opening Number. Three out of nine cast. Looking for contact information. g) Board Calendar reviewed and updated. h) Ceremony Calendar reviewed and updated.

VI. New Business

a) Portage Community Theatre. Application reviewed. Motion made to approve this Membership. Motion seconded and approved. JoBeth will contact Chad from PCT.

b) Nomination Concerns.

1. Two choreographers for "Kiss Me Kate." Since Steven Spanopoulos listed as "Additional Choreography", both names will be listed together in nominations.

2. "Titanic" Costume Designer left before show completed, no other name listed on the program. If Director Allen Homer gives another name for costumes, the nomination will change.

3. Claire Harter-Brown is only Claire Harter.

c) South Shore Arts Council Meeting; Arts Summit will be held September 28`h 8:30 to 5 pm.

d) November meeting will be held at Fourth Street Theatre at 6:30pm; December meeting will be held at Genesius Guild at 6:30 pm.

e) Ruth Best is renewing the AACT Membership; Proposal went well per Ed Griffith. Ed will assemble ad-hoc committee for 2011 hosting of festival. To be revisited in 2009.
